Quote, service and contact requests

Name, organisation, email address and phone number, and the content of the request: selected products and quantities, message, whether the quote is needed for public procurement, in service requests the model, serial number and location of the equipment, and in mapping requests the spaces to be mapped and any floor plan.

Customer relationships

Names and contact details of contact persons at customer organisations, and data relating to orders, deliveries, invoicing, servicing and training.

Use of the website

The website server keeps a technical log (IP address, time, requested page and browser details). Products added to a quote request and your cookie choices are stored in your own browser, not with us. Data on how the pages are used is collected for visitor statistics; see Cookies and analytics.

• Responding to requests and preparing quotes: steps taken before entering into a contract at the request of the data subject or the organisation they represent, and our legitimate interest in handling enquiries from business customers.
• Managing customer relationships (deliveries, invoicing, installation, training, servicing and complaints): contract and legitimate interest.
• Statutory obligations (such as accounting and taxation): legal obligation.
• Website operation and security: legitimate interest.
• Third-party cookies and visitor analytics: consent, which you can withdraw at any time.

We do not send email marketing and do not disclose data to third parties for marketing purposes. We do not make automated decisions or carry out profiling.

• Quote, service and contact requests that do not lead to a customer relationship: two years from the last contact.
• Customer relationship data: for the duration of the customer relationship and one year after it ends.
• Accounting records, such as orders and invoices: for the period required by the Finnish Accounting Act.
• Server logs: for the service provider's retention period.
• Google Analytics visitor data: two months.
• Umami aggregated visitor statistics: six months.

Data is processed only by those members of our staff whose duties require it. Data is also processed on our behalf by the following service providers, with whom we have data processing agreements:

• Netlify: website hosting and receipt of form submissions.
• Sanity: website content and images. When images are loaded, your browser's IP address is passed to Sanity's image service.
• Google: the map on the Contact page and Google Analytics visitor statistics, only with your consent.
• Umami: cookieless visitor statistics in the EU, without storing IP addresses or identifying visitors.
• Hansa: enterprise resource planning system as a cloud service (customer, order and invoicing data).
• Domainhotelli: email. Form notifications and our email messages are sent through it.
• Microsoft 365: office applications and file storage.

Data relating to deliveries and servicing may be disclosed to carriers and equipment manufacturers to the extent required for delivery, warranty or servicing. Data is disclosed to authorities only when required by law.

Netlify, Sanity, Google and Microsoft may also process data in the United States. Such transfers are based on the EU-U.S. Data Privacy Framework or on standard contractual clauses approved by the European Commission.

The website itself does not set cookies. Only the products added to a quote request and your cookie choices are stored in your browser. They are strictly necessary for the website to work, and they are not sent from your browser to us.

The Google Maps map on the Contact page and Google Analytics set Google cookies, and they are loaded only if you accept cookies. Google Analytics data is used only to develop the website: Google signals, granular location data and ad personalisation are turned off. Umami visitor statistics do not use cookies and do not identify individual visitors. You can change your choice at any time.

Cookie settings

You have the right to know what data we process about you and to obtain a copy of it; to have inaccurate data rectified; to have your data erased or its processing restricted; to object to processing based on legitimate interest; to receive the data you have provided in a machine-readable format; and to withdraw your consent.

If you consider that the processing of your data infringes data protection legislation, you can lodge a complaint with the Office of the Data Protection Ombudsman (tietosuoja.fi).

The connection to the website is encrypted. Form data and customer data are held in systems that can be accessed with personal credentials only by those whose duties require it. Our quality management system is certified to ISO 9001:2015.
